Investment Team Assistant – 6 month fixed term contract based at our London Office

 

The role will be to undertake administration, office and operational duties for the Investment Management Team in the London office.

Brief Description of Role:  To undertake administration, office and operational duties for the Investment Management Team in the London office
Controlled function:  No

 

Investment Management Team Tasks:

  • to upload new client data onto CRM systems
  • to work in collaboration with the A’ team in Exeter
  • to assist with setting up new client files & monitoring client take-on process
  • to do mail merges and letters
  • to pre-populate forms for clients using mail merge templates
  • to assist with the preparation and dispatch of six-monthly valuations and Tax Reports as required
  • to update CRM systems as required ensuring client documentation is scanned and saved.
  • to prepare documents for clients and IFAs
  • to prepare Housekeeping Packs
  • Filing
  • to arrange meetings and presentations to professional introducers as required
  • to assist Investment managers with operational tasks and projects as required
  • drafting letters as required

 

General Office Tasks:

  • Incoming and outgoing (including taking “Special Delivery” and “Signed For” items to the Post Office)
  • Switchboard – answering telephone calls to office and dealing with general enquiries (if required)
  • Monitoring and ordering stationery, printer toners and office supplies
  • Couriering documents/boxes as required
  • Printing presentation packs
  • Binding documents
  • Printing monthly Investment Handbooks
  • Keeping kitchen tidy and stocked with tea, coffee, milk etc
  • Ensuring rubbish and recycling collected; communication with rubbish/recycling collectors as required
  • Any other administrative and office management tasks as required

 

Qualifications:

  • Education: at least to A level and including GCSE English and Maths (both at least grade B)

 

Skills and competencies:

  • Professional Services experience
  • Strong Excel and database experience
  • Data Entry experience
  • Excellent attention to detail and good organisational skills
  • Good communication and excellent interpersonal skills
  • Polite and friendly manner
  • Experience and ability with Microsoft applications
  • Accurate typing skills
